Free Invites for Events: Digital Invitations That Get Replies

Digital invitations removed the cost of inviting people, which quietly made the hard part more obvious: getting a reply. A printed invitation sat on a fridge for weeks. A digital one competes with everything else on a phone. Here is what actually moves the response rate.

What every invitation must contain

Guests decide in seconds. Anything that forces them to ask a follow-up question costs you a reply, because most people will not ask — they will postpone and forget.

  • Who is hosting, in the first line.
  • Date, start time, and an honest end time.
  • The venue, written so it can be pasted into a maps app.
  • What kind of event it is — a sit-down dinner and drinks after work need different clothes and different childcare.
  • One obvious way to reply, and a date to reply by.

Email or SMS?

Email suits invitations with artwork and detail. SMS gets opened. In practice the split is generational and situational, and guessing per guest is not worth your time.

The pragmatic approach is to send the invitation by email and the reminder by text. The invitation carries the design and the detail; the reminder just needs to be seen.

Timing and the single reminder

Send four to six weeks ahead for anything people need to arrange travel or childcare for, two to three weeks for a casual event. Earlier is not better — very early invitations get postponed and lost.

Then send exactly one reminder, about a week before your reply-by date, and only to people who have not answered. Reminders sent to everyone read as nagging and train guests to ignore you.

Make replying take one tap

The strongest predictor of a good response rate is how little work the reply takes. A private link that opens straight to the guest’s own invitation, with attending and declining as two buttons, outperforms every clever alternative.

Do not ask guests to sign up, remember a code, or find the event themselves. Every step you add loses replies from exactly the guests least likely to chase you.
