Graduation is unusual among celebrations: you do not choose the date, you often cannot choose how many people can attend the ceremony itself, and half your guest list is traveling. The invitation has to separate what is fixed from what is yours to decide.

Separate the ceremony from the party
Universities issue a fixed number of ceremony tickets, usually two or three, and no invitation can change that. Trying to handle both events in one message is where confusion starts.
Say clearly who has a ceremony ticket and who is invited to the celebration afterwards. Guests who are only coming to the party need the party details and nothing about the hall.
Give traveling guests what they need to book
Graduation weekends fill hotels for miles around, and prices rise the closer you get. Anyone traveling needs the date as early as you have it, even before you know the party details.
A short early message — the date, the city, "details to follow" — is worth more to those guests than a beautiful invitation four weeks out.
Say what the day actually looks like
A graduation day is a sequence: ceremony, photographs, a gap, then the celebration. Guests want to know how long the gap is and what to do in it, and whether they are eating at 3pm or 8pm.
Timings that look obvious to you are not obvious to a grandparent who has traveled three hours and wants to know whether to have lunch first.
Gifts, cards and money
Graduation gifts are common and are often money, which guests find awkward to ask about. If the graduate is moving city or starting a job, saying so gives guests a natural steer without you having to ask for anything.
If you would rather nothing at all, say it plainly — "no gifts, we just want you there" — and most people will take you at your word.

When to send
- As soon as the date is known Send the date to anyone traveling or booking a hotel.
- 5–6 weeks before Send the party invitation, with ceremony tickets addressed separately.
- 2 weeks before Reply-by date; confirm numbers with the venue.
- 1 week before Send the running order for the day — ceremony, photos, gap, party.
- Day before Arrival times, the ticket rules, and where to meet for photographs.
Graduation invitation questions
How do I handle limited ceremony tickets?
Treat the ceremony and the celebration as two separate invitations. Send ceremony details only to the people who have a ticket, and invite everyone else to the party afterwards with no mention of the hall.
When should graduation party invitations be sent?
Five to six weeks before the party. Anyone traveling should get the bare date far earlier than that, because hotels near a university fill quickly on graduation weekends.
What should a graduation invitation include?
The graduate’s name and what they have graduated in, the party date and time, the venue, whether food is provided, and a reply-by date. If there is a ceremony the same day, make clear whether the guest is invited to it.
Should I mention gifts?
Only if you want to steer them. Mentioning that the graduate is moving city or starting a job gives guests a natural direction. If you would rather have nothing, say so plainly and most people will respect it.
